Terms of service

Plain-language terms covering your subscription, your data and how QuoteFlow works with payment gateways.

1. Agreement

By creating a QuoteFlow account you agree to these terms. If you are accepting on behalf of a business, you confirm you are authorised to bind that business.

2. Your account

You are responsible for keeping your login credentials secure and for all activity under your account, including actions taken by team members you invite. Notify us immediately if you suspect unauthorised access.

3. Subscriptions and billing

Plans are billed monthly or annually in advance in South African Rand. Free trials run for 14 days. Monthly subscriptions may be cancelled at any time and remain active until the end of the paid period. Annual subscriptions may be cancelled at renewal. Fees already paid are non-refundable except where required by law.

4. Payment gateways

QuoteFlow is not a payment processor and is not the merchant of record for payments made by your clients. You connect your own PayFast, Yoco, Stitch or Paystack account, and funds settle directly to you under your agreement with that provider. Gateway fees, chargebacks and disputes are between you and your provider.

5. Your data

You retain ownership of all data you enter, including client records, documents and files. We process it solely to provide the service. You may export your data at any time, and we will delete it on request following account closure, subject to any legal retention obligations.

6. Acceptable use

You may not use QuoteFlow to send unsolicited bulk email, to invoice for unlawful goods or services, to attempt to gain unauthorised access to the platform or other accounts, or in any way that degrades the service for other users.

7. Availability

We aim for continuous availability but do not guarantee uninterrupted service. Planned maintenance is announced in advance where practical. We are not liable for losses arising from downtime, though we will always work to restore service quickly.

8. Tax and accounting

QuoteFlow provides tools for calculating and reporting VAT, but it is not accounting or tax advice. You remain responsible for the accuracy of your documents and for your obligations to SARS and any other authority.

9. Limitation of liability

To the maximum extent permitted by law, our total liability arising from your use of QuoteFlow is limited to the subscription fees you paid in the three months before the claim arose.

10. Termination

You may close your account at any time. We may suspend or terminate accounts that breach these terms, with notice where reasonable. On termination you will be given a reasonable window to export your data.

11. Changes

We may update these terms. Material changes will be communicated by email at least 30 days before taking effect. Continued use after that date constitutes acceptance.

12. Governing law

These terms are governed by the laws of the Republic of South Africa, and the South African courts have exclusive jurisdiction over any dispute.
